Wednesday morning update

Good morning everyone!

Here’s what you need to know on this bright and sunny morning:

  1. Please, please, please make sure you drive 15mph or slower on Island Rd. Please make sure you emphasize this information with everyone in your group.
  2. Many field assignments have been updated in the last 24 hours. Lee and I took a very deep dive into where games were scheduled and did our absolute best to optimize assignments. While we do not predict we will make any more field assignment changes, it is possible, so please make sure you check your field assignments on Saturday morning.
  3. Please make sure your online event rosters are perfect. As far as I know rosters are going to be locked today or tomorrow morning. If you’re running into trouble at this point, please contact Emily Woolridge (emily@hq.usaultimate.org) for assistance immediately.
  4. Know the schedule, know the schedule, know the schedule.
  5. It’s looking like the weather will be hot and at time wet this weekend. Please plan accordingly. Yes, you can set up tents as long as they are at least 10 yards away from any sideline.
  6. Each team will receive a food box with apples, bananas, cookies, pretzels, bread, peanut butter, and nutella. Teams with nut allergies can be given sunflower butter and fruit spread in lieu of the nutella and peanut butter.
  7. The main food tent will have additional peanut butter/nutella/jam sandwiches, bananas, apples, watermelon, pickles, gatorade, and bagels/cream cheese in the mornings {limited quantity}. There will also be nut free foods {sunflower seed butter, etc} kept separate from rest in a dedicated cooler.
  8. Unfortunately, we will not have food for sale at the event. Teams will need to plan their meals accordingly.

6:45 to 7:25am: Check in for all teams that are playing during the 1st round
7:30 to 7:35am: Captain’s meeting for all teams that are playing during the 1st round
8:00am: Round 1 begins
8:10 to 8:55am: Check in for all teams that have a 1st round bye
9:00 to 9:05am: Captain’s meeting for all teams that have a 1st round bye
9:30am: Round 2 begins
10:30am: Captain’s meeting for all teams that have a 1st and 2nd round bye
4:40pm: Hard cap on round 6
6:30pm: Hard cap on round 7

Sunday
7:00am: Gates open up at the Oxbow. Please do not show up before 7:00am.
8:00am: Round 1 begins
3:10pm: Hard cap on round 12
4:40pm: Hard cap on round 13

DRAFT Schedule & Rankings, Round 2!

Thanks for all your quick work finding some typos and sending in some GREAT suggestions regarding ranking and scheduling!

Updated rankings and schedule are now live.

They are NOT yet final, but we’re getting there! I’m still aiming to lock things in by tomorrow night!

Updates:

  • Rankings updated with new RRI scores and written comments from coaches.
  • Some cross over games added back in for the girls/non-binary division. (This makes it so all teams get at least 3 games on Saturday and all girl/non-binary teams have the chance to win their A division.)

Please send in any and all comments in the next 36 hours!

DRAFT Schedule & Rankings, Round 1!

The first draft of the schedule and rankings is online here!

Please look over the spreadsheet in detail and let me know ASAP if you see any issues or have any questions. My goal is to LOCK the schedule and rankings on Tuesday night, 5/10, so please send me comments before then.

The major change from the last time the PVI was run in 2019 is that there are no longer any crossover games at the end of the day on Saturday. The top 16 boys teams will be playing for the A division champs, 17 through 32 will be playing for the B division champs, and teams 33-37 will be setup with a slew of awesome opponents. The top 8 girls/non-binary teams will be playing for the A division champs and 9 through 19 the B division champs.

I have worked quite hard to create a schedule that is fair, equitable, and results in what I predict will be the maximum number of quality games. That being said, with an event of this complexity, I FULLY expect that draft 1 of the schedule will contain some glitches and may not yet be perfect! So, have at it — take a deep dive and PLEASE send me any and all comments you have by Tuesday evening.

Payments, Schedule, Rostering, Scores, Gear!

Hello everyone,

A few quick updates/announcements:

Everyone must drive 15mph or slower on the entirety of Island Road. This is the ONLY road leading in and out of the fields. Please make sure everyone driving in knows this rule and drives really slow and with lots of caution. It’s not a long road.

1) You can check out a glimpse of our TOTALLY AMAZING VC Ultimate tournament gear right here!

2) I am currently working on the 1st draft of the schedule. My plan is to send out the draft schedule to you by this Monday. There will be a 24-hour window for you to send me comments and suggestions. My aim is to 100% lock the schedule by Wednesday evening. Here is my current best GUESS as to some timing: 1st games for all teams will start sometime between 8am and 9:30am each day. Teams will finish playing between 4:30 and 6pm on Saturday and by around 5pm on Sunday. Again, these are my best guesses.

3) Please make 100% sure your roster is 100% complete in the next 2-3 days. As far as I know the USAU system LOCKS on Wednesday, after which you won’t be able to make edits. All of your players need to be listed on your event roster and be fully paid. Please remove players who will not be at the event. I super appreciate the work you all are putting in to making your rosters perfect.
4) Please report your scores to scorereport.net. The more data you can add to the system the better!

5) The following teams need to make sure they hand me their tournament checks BEFORE games begin on Saturday. Alternatively, they can send in the tournament fee ($550) via PayPal using the info below.

You can send in your bid fee digitally using PayPal (sales@ultimategood.org). If you send in your bid fee using PayPal, please make sure you list your team name and division (be specific) in the memo field AND email josh@pvinvite.org the confirmation of payment from PayPal.

Please post your scores!

Please do everything you can to post scores from games you have played this season to:

The more games that are reported in that system, the easier it’ll be for me to create initial rankings. The more accurate those initial rankings are, the better the tournament experience is for everyone!

That system can be used by anyone. If your team isn’t listed, create a page for your team and report your scores.

I will soon be sending out a draft schedule without rankings. There will be a window of around 3 days for general comment.

I will be locking in rankings and pools on May 8th, so please make sure you enter in all of your scores by then.

Rostering Update

With only a little over 2 weeks until tournament time, NOW is the time to get your roster ironed out. Everything that needs to be completed is outline on the paperwork page.

All teams should look over their row on the team status spreadsheet and let me know if something looks off. I have to manually update that sheet, so if you just make changes, they may not be reflected in the sheet.

Some teams are 100% set and have nothing to work on. Yay! (Canada rocks)

Some teams have a few things to work on like clearing a few more players and/or deleting players from their roster that aren’t coming.

A few teams, listed below, need to work on some significant items before they will be allowed to play. If your team is listed below, please take a close look at the team status spreadsheet to make sure you understand what you need to work on. Then, email me at jseamon@gmail.com with when you’ll be complete with the work that needs to be done.

Updated COVID-19 Policies

USA Ultimate has just posted updated COVID-19 policies:

A summary of the notable changes for updates issued March 31, 2022 is as follows:

  • Removal of pre-event proof of vaccination or negative PCR test for interstate events.
  • Increased emphasis on state and local health regulations, and on personal responsibility around the use of risk-mitigating measures, including vaccination, testing and masking.
  • Adjusted contact tracing and reporting protocols for participants and sanctioned event organizers, including:
    • Limiting the identification and exclusion of close contacts to events in progress.
    • Eliminating post-event tracking for close contacts.
    • Eliminating the need to submit a negative test prior to returning to play.
