1) Players in the Middle School division must be in 8th grade or below.
2) Players in the Youth division must be 19 or younger on 10/25/25 and cannot have graduated from High School.

A summary of the notable changes for updates issued March 31, 2022 is as follows:
- Removal of pre-event proof of vaccination or negative PCR test for interstate events.
- Increased emphasis on state and local health regulations, and on personal responsibility around the use of risk-mitigating measures, including vaccination, testing and masking.

Should we carpool? What will parking be like?
Yes, you absolutely need to! We have a decent amount of parking, but we need to keep traffic in and out of our various field sites during the tournament to an absolute minimum. Also:
For an event this size, parking needs to be efficient, and it’s not possible for everyone (or even anyone) to park right next to their team’s field. We all need to cooperate on this. Please recognize the goodwill and the efforts of the volunteers who are working hard to make parking for FYI to run smoothly, and please follow their requests and directions. We know you might be running a little late and you just want to get to the field to watch your player. We get it. In the spirit of ultimate, please be respectful of the parking coordinators and your fellow parkers, arrive early, and set a good example for your players.
How do I submit my team’s payment?
The tournament fee is $330 per team. Checks should be made out to “Give Back Ultimate” and sent to:

You can send in your bid fee digitally using PayPal (sales@ultimategood.org). If you send in your bid fee using PayPal please include an extra $20 and make sure you list your team name and division (be specific) in the memo field AND email josh@pvinvite.org the confirmation of payment from PayPal.
Is it true that the tournament fee is $0 if my team flies in?
Correct! If your team has to fly in for the event, your tournament fee is $0!

How do I submit a bid?

What’s the bid deadline?
Bids are accepted on a rolling basis until October 1st or until a given division hits the cap of 8 teams. Please note that a bid is not confirmed until the bid fee has arrived in Williamsburg and notice has been sent to the team confirming they have been accepted.

How do you decide which bids to accept?
Our goal is to create a geographically diverse tournament made up of organized, enthusiastic teams. We are also specifically looking for teams that have contributed to the growth of Ultimate in their school, town, or area. We are also impressed by organized teams that respond to emails promptly and get their bids in early.
Where is the tournament?
The tournament will take place at the Oxbow Marina located in Northampton, MA.
What do we get for our money?
The money we collect goes towards team boxes, trophies, lunches, trainers, field fees, discs, program printing fees, tents, as well as many other miscellaneous costs.
Do we need an adult chaperone?
Absolutely. You must have at least one adult chaperone if you want to play in the tournament, and the chaperone must be with your team for the entire day. Failure to have a chaperone may result in expulsion from the tournament. (If a player is sent to the hospital, a chaperone MUST travel with that player. A second chaperone MUST be present at the tournament for the team to continue to play while the first chaperone is away at the hospital.) When will accepted teams be notified?
We are aiming to notify teams of the status of their bid within 3-5 days of receiving the online bid submission.
What happens if it rains?
As with all outdoor sporting events, the Fall Youth Invitational can be canceled or shortened due to weather. The tournament is held on athletic fields used by many teams during the spring and cannot be permanently damaged. Because of the size of the tournament, it is impossible to arrange a rain-date and many of the items needed to run the tournament must be paid for well before the event. If the tournament has to be shortened or canceled due to inclement weather we will not be able to provide full refunds. We will make every effort to provide as much of a refund as possible but no specific refund amount is guaranteed. It is possible that no refund will be possible. All that being said, it would take an extraordinary amount of rain to impact our event at all. Our fields drain exceptionally well and are very tough.
Fortunately, we have never had to shorten or cancel the PVI due to weather in its 11 year history, which is at the same field site as the FYI. We hope our luck continues. If there is lightning, five horn blasts will indicate that play will stop immediately. Everyone should quickly shelter in their vehicles. Play will resume with 5 more horn blasts 30 minutes after the last lightning strike is seen.
What happens if my team needs to drop from the tournament?
Or or before 10/1/25: Full refund
After 10/1/25: No refunds
If you pay via PayPal, there will be a $20 fee for dropping at any time after you paid. (This is due to PayPal not refunding transaction fees.)
Can my team play without registering with USAU?
Yes. Only the one chaperone is required to be a USAU member.

What’s the entrance road like to the fields?
Island road, the only entrance to the fields, is quite narrow and houses are right up against the road. You MUST travel at 15mph or slower on the entire road. Please go slowly. If you are found to be traveling faster than 15mph on Island road, your entire team will be asked to leave immediately.
Are dogs allowed at the event?
Unfortunately, no dogs are allowed anywhere at the Oxbow Marina. Please do not bring your dogs to the fields.
What are the rules at the Oxbow?
– Always have an adult supervising
– No loitering before or after games
– Parking only in marked FYI designated areas. Always follow the instructions of the parking volunteers.
– No drugs or alcohol
– No dogs
– Do a trash sweep when you leave a field
– Drive 15mph or less on Island Rd.
– Always carpool
– Limit your trips down Island Rd.
– Do not disturb the marina or the boaters (it’s their space, we are guests)
– Do not use the marina facilities, or go on the docks, they are for the boaters
– Do not pee in the woods – use the port-a-potties
– Be kind if you interact with Island Rd. residents or marina staff (even if they aren’t)
What’s in the team boxes?
We won’t be providing boxes. There will be food available at tournament central for teams to consume at will 🙂
What food will be available at tourney central during the day for free?
The main food tent will have bagels, cream cheese, honey, nutella, peanut butter, jelly, wheat bread, white bread, pickles, apples, oranges, bananas, watermelon, and cookies.
Will food be available for sale?
Probably not. There is a small chance one food vendor will be on sit.
Can FYI supply an invoice if needed?
Yes. Email Josh (josh@pvinvite.org) if you need one. Please make sure to let him know which team you represent.
What is the FYI’s Gender Inclusion Policy?
We follow USA Ultimate’s Gender Inclusion Policy.
My NCSI background check will expire soon before the FYI. What do I do?
Background checks can be renewed starting 60 days out from the expiration date. Keep in mind that the two years starts from that date (it is not extended from the original expiration date).
PAPERWORK
Submit your chaperone information using this form by October 1st. [You can submit your chaperone information BEFORE your chaperone is fully cleared.
Submit your team roster using this form by October 15th. You can edit your roster any time before October 23rd
Important Note: Teams will NOT have to create rosters in the USAU rostering system. The FYI2025 is not a USAU sanctioned event. Players will not be required to have USAU memberships. One chaperone will be required to have USAU memberships as part of the requirements outlined below
When teams check in at FYI2025 on Saturday morning, they will:
- Introduce us to their cleared chaperone and have them complete a couple check in tasks.
- Show us the medical authorization forms that covers all of their players. These can be the ones your school, league, or other organization uses. We will not collect these documents. They can be digital. We just need to see the documents that give your chaperones permission to allow medical treatment. These documents can be digital. (You will note which players on your roster are 18+.)

Full Chaperone Requirements:
- Current USA Ultimate membership.
- Signed liability and infectious diseases waivers in their USAU member account.
- At least 21 years of age.
- Current SafeSport training.
- You can complete SafeSport training through your USAU Ultimate member account. On your USAU account homepage, assuming you have a current membership, check your SafeSport status on the top right side of the page. The cost of SafeSport training is included as a USAU member benefit.
- Current green-light background check from the National Center for Safety Initiatives.
- Background checks are good for two years; most domestic background checks cost $30.
- Background checks take an average of 10 days, so plan accordingly.
- You can complete a background check or see the expiration date of your current check in your USAU member account.
- Chaperones can only chaperone for one team at an event.
Chaperone Responsibilities
- Have access to medical authorization forms for all minors.
- Be present with the team at the entire FYI.
