Columbia girls team looking for players

The Columbia girls team is running low on players and without a few more won’t be able to attend. If you’re a HS girl and would like to join their team for the weekend, please email me at josh@pvinvite.org. By joining the team you’ll get to play with a fantastic team in 6+ games against teams from all over New England, and join in on an epic Saturday night dinner and dance.

As an added bonus you’ll get free access to dinner, and if you’re not a USAU member, we (the tournament organizing committee) will reimburse you for the USAU one time event fee.

If interested, please email me by Friday, 5/2 @ 3pm.

4/27 Update

Screen Shot 2014-04-27 at 11.20.58 AMProgress is being made with regards to team paperwork (#FALMOUTHROCKS), but lots of teams have a bunch of work to do before the 5/2 paperwork deadline. The process really, truly isn’t that hard as long as you do not wait until the last minute. Bad things, like being dropped from the event, can happen if you wait until the last minute.

Also, please make sure you also fill out the Dinner & Housing form by the 5/2 deadline. ALL teams need to fill out the form (once for each team) regardless of what your plans are for dinner or housing.

Please let me know ASAP if you have any questions, comments, or concerns. The best way to contact me is via email at josh@pvinvite.org.

A note about water

A note from the water committee:

Of course there will be plenty of water for the players throughout the weekend. However, we do not have easy access to potable water sources and so ask your help in facilitating the “flow” of refilling water bottles. Each player should bring a labeled (name of team and player) water bottle. Please come each morning with a full bottle of water.

On Saturday morning each team will be given a 5-gallon jug of water. Please make sure to refill your jugs before your games on Sunday.

At registration, we will ask for a $5 deposit for the five gallon water bottle to be returned on Sunday upon receipt of the bottle. Thank you.

The rostering system is live

The moment you have all been waiting for is finally here! The PVI2014 event is now online and active in the USAU rostering system:

You can now login to the USAU system and complete all of your necessary event registration and paperwork as outlined on the Paperwork page.

PVI2014-Logo2Please note that all of the tasks outlined on the Paperwork page need to be completed by Friday, 5/2 @ 3pm. Also, by that same deadline, all teams need to fill out the dinner and housing information form.

Everything that’s outlined on the Paperwork page is not hard to complete as long as you do not wait until the last minute to start the process. So please, I implore you, get to work on the tasks ASAP.

I am here to help you out with the process in any way that I can. Please don’t hesitate to email me questions at josh@pvinvite.org.

Dinner, Housing, & Registration Update

The Saturday night social event is shaping up to immensely awesome. There will be tons of great food, multiple carnival-style game stations, a professional DJ, and multiple bouncy castles. The event will take place from 6 to 11pm at JFK Middle School in Northampton.

The event is open to everyone who is playing in the tournament. You do not need to purchase dinner at the event to attend.

We will be serving dinner at the event. Each dinner ticket costs $10 and includes a full dinner along with dessert and drinks.

+HOUSING
We are also excited to announce that we have secured many local hosts for teams attending the tournament!
We are hopeful that we will be able to place every team that wants a host with a free place to stay on Friday and/or Saturday night! That being said, teams will be placed on a first-come, first-served basis.

+QUICK, REQUIRED ONLINE FORM – ALL TEAMS
In order for us to provide you with housing and an amazing dinner experience, we need all teams to fill out this very short online dinner & housing information form. Please make sure you fill out the form by Friday, 5/2 @ 3pm. All teams need to fill out this form regardless of if you need dinner or a host.

+REGISTRATION
The registration deadline has been moved to Friday, May 2nd at 3pm. I will be sure to notify everyone as soon as the event goes live in the USAU system, something that should happen any day now. As long as you have USAU ID numbers for your team and a cleared chaperone, the registration process should take about 5 minutes. Please make sure that you are intimately familiar with all the info on the Paperwork page.

3/4 Email Update

The following email was sent out to all teams on Tuesday, 3/4:

********************
pvi2014-logoHello everyone,

You are getting this email because your team is somewhere in the process of completing the bid process for the 1st annual Pioneer Valley Invitational.

The Team Status page is now up to date. Please look it over.

Your team fall into one of three categories:

Confirmed = Your bid and check have arrived. Your spot at the event is 100% guaranteed.

Confirmed if check arrives in time = Your bid form has been received, but your check has not arrived. Your spot at the event is NOT guaranteed. Spots will now be confirmed as checks arrive.

Not confirmed = Neither your bid form or check have arrived. Please let me know by this Friday, 3/7 @ 6pm EST if you still plan on submitting a bid. After that time I will drop you from my lists if I have not heard from you.

Note: Confirmation of check receipt will next happen on 3/24. At that point teams will be officially confirmed based on the postage date of their check. The earlier they arrive in Easthampton, the higher the chances we’ll still have a spot for your team.

Let me know if you have any questions.
